Hiring a Part-time Association Executive for North Central Board of Realtors

8:30am to 1:30pm     M-F       Part-time 25 hours

Pay depends on Experience

ASSOCIATION EXECUTIVE RESPONSIBILITIES AND DUTIES

  1. Keep the Board of Directors and MLS Committee fully informed on the conditions and operations of the Board and on all-important factors influencing them.
  2. Plan, coordinate, and attend meetings of the Board of Directors and elected officials of the Board, Board committees except Professional Standards and Grievance. Minutes of all official meetings, as received by the Board Secretary, must be maintained.
  3. Maintain governing documents that comply with the policy of the NATIONAL ASSOCIATION OF REALTORS® Governing documents shall be submitted to the NATIONAL ASSOCIATION OF REALTORS® for review as required.
  4. Manage Board finances including the timely filing of necessary reports and documents with the IRS and local, state, and federal entities. Maintain proper accountability and reporting measures to the Board leadership.
  5. Maintain accurate membership records and an established dues collection process for new and existing members, consistent with the policies for the State and NATIONAL ASSOCIATION OF REALTORS®.
  6. Provide financial information as requested to the Budget & Finance Committee and the Directors to formulate an annual budget. Upon approval of the annual budget by the General Membership, operate within that budget
  7. Maintain a Professional Standards process for arbitration and enforcement of the Code of Ethics of the National Association of REALTORS®
  8. Perform secretarial functions for Grievance Committee reviews, Professional Standards hearings, and the Board of Directors. Provide security for all files, legal and historical documents, membership, and mailing lists. Maintain official Minutes and the Seal of the Corporation
  9. Develop and maintain a process of ongoing communications with the membership, including correspondence with the State and NATIONAL ASSOCIATION OF REAL TORS® and the Oklahoma Real Estate Commission.
  10. Maintain strong working relationships with other local boards and associations.
  11. Coordinate Board approved programs, meeting and activities, issuing notices on all meeting according to the Bylaws of the North Central Boar of REALTORS®
  12. Periodically assess the needs of the membership to determine and ensure program, service, project, and activity accountability.
  13. Handle the administrative duties of operating a Multiple Listing Service, not limited to entering member-ship changes and MLS changes and listings as soon as possible. Monthly statistics will be issued and rental sheet changes kept current.
  14. The Rental Sheet is a service to the public, but it is also a tool to generate traffic to the Member Real Estate Offices.  Therefore, it is distributed to member offices, affiliates and the BOD website.
  15. Provide monthly statistics from MLS to OAR, NAR and Ponca City News.

16.   Ensure compliance with Board liability issues (anti-trust, employer/employee claims, civil rights and risk reduction) and the latest NAR and OAR directives.

17.   Protect and promote the proper use of the REAL TOR® registered trademark and Equal Housing Logo, reporting violations to the Directors.

18.   Receive all applications for membership and maintain a procedure to inform new members of the privileges and obligations of membership and provide this information to the Membership Committee.

19.   Coordinate educational offerings or develop a means of communication to identify the availability of such opportunities elsewhere.

20.   Maintain a working relationship with legal counsel and auditor designated by the Board of Directors.

21.   Oversee, train, and manage any support staff when the Board of Directors approves such staff.

22.   Attend and participate in State and National meetings whenever possible and as directed by the Board.

23.   Strive for continued professional development by taking advantage of educational opportunities offered through the Local, State, or National Associations, and any other offerings that may enhance professional development.

24.   Verify all bills and write checks and vouchers for signatures. Reconcile all bank statements. Operate within the approved budget of the Board of Directors and make periodical treasurer reports. Work with the Board -selected auditor for his reports and filing taxes.

25.   Collect dues and fees, reporting delinquent membership to the Board of Directors. Also, file reports and payments of dues to State and NATIONAL ASSOCIATION OF REALTORS® in a timely manner.

26.   Provide security for all files, legal, membership, mailing lists, bank statements, minutes of all meetings, and the Seal of the Corporation.

27.   Keep a master of the Board Bylaws and furnish the Directors and members of the Board copies when needed.

28.   Refer media calls to current President.

29.   Be responsible for all building and grounds maintenance, reporting repairs or damage to that committee and the Board of Directors.

30.   Keep an accurate telephone log of all calls to the Board office.

31.   Purchase budgeted items and materials. Supervise repair and maintenance of all office machines within the budget.

32.   Inventory lockboxes monthly.

33.   E-Mail or fax Affiliate members hot sheets on a timely basis.
